Description
We are seeking a detail-oriented and highly organized Administrative Assistant to join our team and provide essential support to our office operations. The successful candidate will play a key role in ensuring the smooth day-to-day functioning of our office and assisting various departments with administrative tasks. This is an in-office, part-time position with full-time potential.
Responsibilities
Office Management:
- Greet and assist clients and visitors in a friendly and professional manner.
- Manage office supplies and inventory, ensuring stock levels are maintained.
- Maintain a neat and tidy office.
- Coordinate office maintenance and repairs as needed.
Scheduling and Calendar Management:
- Schedule appointments, meetings, and conference rooms.
- Maintain and update executive calendars.
- Coordinate travel arrangements and accommodations for team members as required.
- Plan and execute in-office and offsite events
Communication and Correspondence:
- Answer and direct incoming phone calls and emails.
- Draft, proofread, and edit documents, memos, and reports.
- Handle incoming and outgoing mail and packages.
Data Entry and Record Keeping:
- Maintain accurate and organized filing systems.
- Enter data into spreadsheets, databases, websites, and other digital tools.
- Assist in the preparation and organization of important documents and reports.
Meeting Support:
- Prepare meeting agendas, materials, and presentations.
- Record meeting minutes and distribute them to relevant parties.
- Ensure meeting rooms are set up and equipped with necessary resources.
Assist with Administrative Tasks:
- Assist various departments with administrative tasks, including photocopying, scanning, and filing.
- Handle special projects and tasks as assigned by management.
Skills
- Proficiency in office software, including MS Office (Word, Excel, PowerPoint, Outlook), Google Drive, etc.
- Excellent written and verbal communication skills.
- Strong organizational and time management skills.
- Attention to detail and the ability to maintain confidentiality.
- Strong problem-solving and multitasking abilities.
- Ability to work independently and as part of a team.
Experience
Proven experience as an Administrative Assistant or in a similar role.
